  • Overview

    The Administrative Assistant Provides general office functions by performing the following duties in support of Walt Disney, Universal and Seaworld projects in our Orlando, Florida office location.

     

    Responsibilities

    ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

    • Operates telephone system directing callers to the required personnel. Assures incoming telephone calls are answered and directed in a timely and professional manner.
    • Greets visitors and notifies appropriate personnel.
    • Operates computer, FAX and postage machine.
    • Sorts and distributes mail for Project Coordinator to distribute.
    • Receives and distributes all incoming faxes. Monitors fax machine to ensure successful transmissions.
    • Prepares outgoing mail.
    • Coordinates conference room scheduling, company vehicle scheduling and weekly car wash.
    • Set up and coordinates Lunch & Learn presentations with vendors and staff members.
    • Maintains Company telephone list.
    • Provides administrative support to all departments on an as needed basis.
    • Assists accounting department with various duties, i.e., verifying UPS and Federal Express invoice statements (weekly) and updating pool car spreadsheets (monthly).
    • Trains back-up staff members on telephone system and other duties.

     

    Qualifications

    EDUCATION and/or EXPERIENCE:

    Associate’s degree (A.A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.

     

    OTHER SKILLS and ABILITIES:

    Must have ability to operate a computer and be skilled in the following software.

    • Microsoft Outlook
    • Microsoft Word
    • Microsoft Excel

    Must be authorized to work in the US
