Overview

As part of the facilities team the facilities coordinator will play a key role in performing maintenance, janitorial, shipping services, emergency programs and other corporate services. The coordinator will build, follow, and improve upon strategic plans and team programs to continually meet service requirements. The coordinator will be responsible for supporting long-range facilities plans and projects based on company growth and future facility’s needs. With Core competencies in communication, emergency preparedness, business continuity, environmental stewardship and sustainability, operations and maintenance, project management and technology.

Responsibilities

  • Assist Facility Manager in managing building maintenance activities.
  • Maintaining pro-active and preventative maintenance plan
  • Assist Facility Manager in allocating and managing space within the building.
  • Complete Facility PM’s in a timely and concise manner
  • Assist Facility Manager in planning and overseeing building work and renovations.
  • Assist Facility Manager with securing bids and coordinating with outside contractors/vendor activities.
  • Assist Facility Manager in ensuring the facility meets government regulations and environmental, health and security standards.
  • Inspect/coordinate/perform the maintenance and repair of facilities and related equipment.
  • Assist Facility Manager in annually reviewing efficiencies and cost-effectiveness of current programs and accounts.
  • Coordinates facilities operations including Janitorial, HVAC, Electrical, food service, and general maintenance operations
  • Has a working knowledge of operational budgets and can make day to day, as well as basic strategic, financial decisions accordingly within areas of focus.
  • Leads vendor relationships for facilities operations, supplies, and services within areas of focus.
  • Assists in sourcing and negotiating with vendors and suppliers
  • Liaison with buildings’ management for operations and maintenance
  • Carries out and monitors office policies and procedures
  • Assists with special projects related to office facilities, including new office commissioning/decommissioning and associated moves or office refurbishments.
  • Assists in administration of security systems.
  • Assists and/or leads space planning and MAC’s (moves, adds and changes)
  • Maintains phone system directories and basic programing to support staff changes
  • Assigns and maintains keys and access card distribution and documentation
  • Provide onsite support for office/building emergencies including after business hours
  • Maintain accurate inventory lists of fixed assets including equipment and furniture
  • Occasional travel - You may be expected to travel for this position up to 5% of the time for business purposes.

 

Qualifications

 

  • Experience in hands-on general repair of facilities and equipment is required. Experience with commercial facility and equipment repair is preferred.
  • Minimum 2 years facility related experience.
  • Basic knowledge of building technology infrastructure
  • Proficient with Microsoft Office applications (Outlook, Word, Excel)
  • Associate degree or Certification in engineering, facility and project management or related field preferred.
  • High School Diploma or GED required.
  • Certified Building Operator Level 1 preferred.
  • A valid driver’s license required.

 

PHYSICAL REQUIREMENTS:

  • Ability to navigate and move around the construction site, which may involve walking, climbing ladders and scaffolding, and standing for extended periods on uneven surfaces.
  • Ability to lift to 50 pounds.
  • Ability to handle tools, equipment, and perform tasks that require coordination and manual skills.
  • Manual dexterity, hearing, mental acuity, typing, reaching, repetitive motion, speaking, talking, and visual acuity.
  • Ability to operate a motor vehicle.
  • Ability to stand and sit for periods longer than 30 minutes but not to exceed two hours consecutively.
  • Ability to print and draw letters, numbers, words, characters, and symbols that are legible and understood by others.
  • Ability to learn complex tasks and remember how to complete tasks without assistance once trained.
  • Ability to control behavior when encountering stressful situations or short deadlines and to maintain a high level of concentration.
  • Quick thinking and decision-making ability to address issues and challenges that may arise during construction.
  • Endurance to work in various weather conditions and handle the physical demands of supervising a construction project.
  • Strict adherence to safety protocols and the ability to enforce safety standards on the construction site.
  • Adherence to personal protective equipment (PPE) requirements when on the construction site, such as hard hats, safety vests, and steel-toed boots.
